Privacy Policy

This policy explains how GrowMate AI handles information when someone creates a GrowMate account or uses GrowMate services. GrowMate can also act as a processor for business customers that use the service to manage their own customer information; those businesses remain responsible for their own customer-facing privacy notices and lawful instructions. The exact controller/processor role depends on the processing activity. ICO guidance explains this distinction.

Information we handle

Account information such as email address and account identifiers; business details such as business name, services, website, location and contact details; content and images you upload or generate; leads, customers, jobs, quotes and marketing records you choose to store; support messages; subscription and billing references; and information needed to connect third-party services.

How we use it

We use information to provide GrowMate features, authenticate accounts, generate requested marketing content, store and display business data, provide support, process subscriptions, secure the service, and connect third-party platforms when you authorise them.

AI processing

When you request AI features, relevant business information, prompts and/or media may be sent to the AI service used for that feature so it can return the requested result. GrowMate instructs AI features not to invent material facts, but you must review output before publishing.

Third-party services

Depending on the features you use, information may be shared with service providers such as Hatchable (hosting/authentication/database), AI providers, Stripe for billing, and social or advertising platforms you explicitly connect. Those services have their own terms and privacy information.

Social connections

When you connect Facebook, Instagram or another platform, GrowMate stores the minimum connection information needed to provide the requested integration. OAuth tokens are encrypted before storage. GrowMate does not ask for or store your social-media password.

Security

GrowMate uses access controls, user-scoped database records, encrypted social tokens and platform security controls. No online service can guarantee absolute security.

Retention and deletion

We keep information for as long as needed to provide the service and meet legitimate operational, contractual, security or legal requirements. We review retention rather than keeping information indefinitely. You can request deletion from the app's Setup area or at Delete your account. Some records may need to be retained where lawfully required; any such retention will be explained where applicable. The ICO notes that retention periods should be justified by purpose and reviewed.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase, restrict or object to processing and, where applicable, data portability. Use GrowMate's in-app Help & Support area for privacy requests.

Customer leads and quote requests

For information submitted through a business's public quote form, the business receiving the enquiry is normally responsible for deciding why and how that customer information is processed. GrowMate provides the software used to collect and manage it. The business must provide appropriate privacy information and lawful processing arrangements for its own customers.

Children

GrowMate is a business marketing service and is not directed at children.

Changes

We may update this policy as the service changes. The current version will remain available at this URL.
